Can you tell us what type of business you run and how long you've been operating this business?

August 8th 2021 marked PBS-Prudence Bookkeeping Systems or Prudence Systems for Bookkeeping 13th anniversary! This year sure feels like a 13th…with all the unique situations with this tax season, the pandemic lingering, and the rest of the world catching up to our standards.


As you all know Prudence Systems for Bookkeeping was founded virtually to assist its clients globally. The name change came with the acronym or disposition of lettering for proper wording to PBS-Prudence Bookkeeping Systems. However, most inquiries always stop at ‘bookkeeping’ and deem it as a bookkeeper. If you are unaware, it is a full field of accountancy with concentration in Forensic accounting as well as internal auditing and taxation by way of performing accounting and bookkeeping services.


Prudence Bookkeeping Systems has the capacity to service startup, micro, small, enterprise and midsize businesses. These types of businesses are not publicly offering corporations on any exchange of the stock markets; therefore, a Certified Public Accountant is not needed. Prudence is an advanced degreed accountant in international business and has been virtual since August 8th 2008, hence the 8’s and the ∞ infinity symbol. Can you share with us some details about how you got started in the Accounting and Bookkeeping Industry?

I was in graduate school volunteering at nonprofits trying to get hired prior to receiving my MBA. Most every last one of them used my services and felt they could not afford a multifaceted accounting, business, computer, data management, economic, and international business person. I was on the phone with my dad, probably crying that I was still unemployed. He suggested that I form my own business, Prudence Systems for Bookkeeping. 


After he assured me that I had what it took, the next day, after feeling sorry for myself, I started writing my business plan. I simply wanted the acronyms to be catchy, so I changed the letterings to PBS, and created Prudence Bookkeeping Systems. My initial business plan was simply the designing of bookkeeping systems and going into accounting firms setting up better practices for bookkeeping. Six years later, I went back to graduate school to receive a master in Accounting, and started offering all things accountings. 



If you've had some challenges and roadblocks along the way, Can you share with us what some of those challenges have been in regards to starting or running this business and how you overcame them?

I really didn’t have any roadblocks or challenges along the way. I recall applying for a business loan and the SBA lender stated virtual accounting services would not work as well as I was thinking. Nonetheless, 13-years later almost all accountants are working virtually. I would work major contracts to support my practice, as I served small business and nonprofits not for profits.


I thought of one, getting my third masters degree in Accounting. It took forever, because I was raped and had inherited mental illness. Once overcoming this obstacle it was hard in trusting people again. It seemed like it took forever to complete that degree. Nonetheless, I try to complete everything that I start, I finished it. It never interfered with me providing services to my current clients. This degree allowed me to do all accounting work and the clients that called me their accountant were no longer in vain. 


But the funny part, once I was an accountant, people started calling me a bookkeeper...lol 

So I guess another one is that I am degreed, and an accountant, but people still dismiss me as a bookkeeper because I don’t have a CPA.



Let's talk about the services you offer, who do you help, and how do you help?

I service micro, small, enterprise, and some midsize businesses. These businesses come from multiple sectors of the world of works, and can find themselves at a disadvantage or simply seeking a better accountant. 


I help by way of designing a better accounting system or bookkeeping systems to achieve the proper goals. If their CPA treats them like a number opposed to a client, because their revenue is not up to par, I bring them onboard and help them grow in the direction they are seeking with the proper treatment. I also provide them with all the proper reporting per fiscal year opposed to presenting the Schedule C on their tax returns.



What's your best advice for small businesses that desire to improve their finances?

The best advice for any type of business that desires to improve their finances is to know its worth. Ask your accountant or bookkeeper to educate the owners on its financial position, and if unable to, it is best to find a new provider. If you are unable to understand your simple Month-end reports or have a professional walk you through what you are reviewing then you need a second opinion. 


To be clear, review your financial accounts on a daily basis, to know how your day starts and how your day ends. Know that your receivables will cover your payables,  and house your payroll account separately from the operation accounts. If you know how to read at least the Balance Sheet, Income Statement (Profit & Loss or P&L Statement), and Payroll Summary you can see how to improve your spending to have a decent financial position.



In our talk you said, “It’s ALL about word of mouth.” Can elaborate on how word of mouth and strategic partnerships have impacted your business?

What I meant by ‘It is all about word of mouth’ is my advertising budget is really low. The majority of my clients come by way of referrals. From the disadvantaged businesses, to startups, to the established businesses seeking a better understanding of its financials were referred by way of mouthing the services that they received. My favorite one was, “Prudence, you do beautiful work,” after seeing their completed Bookkeeping Systems. So imagine, if  you need an accountant and your peer says, ‘mine does beautiful work’ how fast you would reach out to me.

With all that you've accomplished so far, did setting goals contribute to your success so far?

Yes, without setting goals, my business plan would have missed a whole page or two.
